This notice explains what personal information Roxy Weddings collects, why we collect it, how we use it and what rights you have. It applies to couples who book us, to people who enquire, to guests who appear in our films, and to visitors to this website.

1. Who we are

Roxy Weddings is a wedding film business based in Tralee, Co. Kerry, Ireland. We are the data controller for the information described in this notice.

2. What we collect

If you enquire

  • Your names, email address and phone number

  • Your wedding date, venue and rough plans for the day

  • How you heard about us, and anything else you choose to tell us

If you book us

  • Everything above, plus your postal address

  • Your signed agreement and the details in your booking form or questionnaire

  • Payment records, including the amount, date and method. We do not store your card details.

  • The running order for the day, venue contacts, and any list of key people or moments you send us

On the wedding day

  • Video footage, still images and audio recordings of you, your families and your guests

  • Audio from the ceremony, speeches and conversations captured during coverage

When you visit this website

  • Anything you type into a contact or enquiry form

  • Technical information collected by cookies, such as your IP address, browser and how you moved through the site

3. Why we use it, and our legal basis

  • To reply to your enquiry and give you a quote.
    Legal basis: our legitimate interest in responding to people who contact us.

  • To perform our agreement with you, meaning planning the day, filming it, editing and delivering your films, and staying in touch throughout.
    Legal basis: performance of a contract.

  • To take payment and keep financial records.
    Legal basis: performance of a contract, and our legal obligations under tax law.

  • To film guests who attend the wedding.
    Legal basis: our legitimate interest, and the legitimate interest of the couple, in recording the day. See section 4.

  • To show your film or footage in our portfolio, on our website, on social media, in showreels, at wedding fairs, and in award or competition entries.
    Legal basis: your consent.

  • To share a selection of footage with your venue and other suppliers for their own promotional use.
    Legal basis: your consent.

  • To send you occasional emails about our work, where you have asked to receive them.
    Legal basis: your consent.

  • To keep records to deal with any query, complaint or legal claim.
    Legal basis: our legitimate interest in defending our position, and our legal obligations.

Consent can be withdrawn at any time. Where we rely on your consent, you can change your mind by emailing hello@roxymedia.ie. We will stop using the material and will tell any venue or supplier we have shared it with. We cannot always remove material that has already been published by someone else, but we will not use it again.

4. Wedding guests

Filming a wedding inevitably records the people who attend it. We rely on our legitimate interest, and the couple's, in producing a record of the day. We ask couples to let their guests know that filming is taking place.

If you are a guest and you would prefer not to appear in a film, please tell us on the day and we will do our best to keep you out of shot. If you have already appeared in something we have published, contact us and we will look at it.

5. Who we share it with

We do not sell your information to anyone. We share it only where it is necessary, and only with:

  • Crew. Second filmmakers, assistants and editors who work with us on your wedding, under a duty of confidentiality.

  • Software and storage providers. Cloud storage, backup, film delivery, email and website providers that keep our business running.

  • Payment providers, our bank and our accountant, for taking payment and keeping proper records.

  • Your venue and other suppliers, where you have consented to us sharing footage for their promotional use.

  • Professional advisers or authorities, where we are required to by law.

6. Storage outside the EEA

Some of our storage and software providers hold data outside the European Economic Area. Where that happens, we rely on the safeguards permitted under data protection law, such as the European Commission's standard contractual clauses or an adequacy decision covering the country concerned.

7. How long we keep it

  • Enquiries that do not lead to a booking: 12 months.

  • Raw footage and all material recorded at the wedding: 6 months after your films are delivered, after which we are not obliged to keep it. Please download and back up your films promptly.

  • Your agreement, invoices and payment records: 6 years, to meet tax and legal requirements.

  • Footage published in our portfolio or marketing: for as long as we use it, unless you withdraw consent.

  • Marketing email subscriptions: until you unsubscribe.

8. Your rights

Under the General Data Protection Regulation and the Data Protection Act 2018, you have the right to:

  • ask for a copy of the personal information we hold about you

  • have inaccurate information corrected

  • ask us to delete your information, in certain circumstances

  • ask us to restrict how we use it, in certain circumstances

  • object to us using it where we rely on legitimate interests

  • receive certain information in a portable format

  • withdraw consent at any time, where we rely on consent

To exercise any of these, email hello@roxymedia.ie. We will respond within one month. There is no charge.

We do not make any decisions about you by automated means.

9. Cookies

This website uses cookies. Some are essential to make the site work. Others help us understand how visitors use the site so we can improve it. You can accept or reject non-essential cookies through the banner on the site, and you can clear or block cookies at any time in your browser settings.

10. Security

We take reasonable steps to keep your information safe, including access controls on our systems, encrypted storage and backups of footage while we are working on it. No system is completely secure, but we treat wedding footage as confidential and store it accordingly.

 

11. Complaints

If you are unhappy with how we have handled your information, please tell us first and we will do our best to put it right. You also have the right to complain to the Irish supervisory authority:

12. Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed. If we make a significant change affecting how we use your information, we will tell you.
